The annual leave year runs from 1st of April to 31st March.

The organisation uses ESR (Employee Staff Record) and E-Rostering for recording leave; in departments where e-rostering is utilised, managers and employees must ensure that annual leave is requested and recorded in the E Rostering system and not ESR. Your line manager will be able to advise on which system you need to use.

It is expected, to ensure that plans can be put in place to maintain service delivery/staffing levels, that an employee requesting 3 or more days’ annual leave, must provide a minimum 6 weeks’ notice to their line manager, wherever possible.

There may be occasions when an employee wishes or needs to take extended periods of annual leave, i.e. more than 2 weeks. This must be discussed in advance with the line manager.

Employees must ensure that their line manager has approved their annual leave request before this is taken and they must not commit themselves to any holiday plans until their line manager has approved their annual leave request. If annual leave is taken (failure to attend work) without management authorisation, then a meeting will be held with the employee to ascertain the fact and then the Trust may invoke the Disciplinary Policy.
